Refund and Cancellation Policy

Refund and Cancellation Policy Summary
At AB Travel Coordinates, we understand that unforeseen circumstances may arise, leading to the need for cancellation or modification of travel plans. Our refund and cancellation policy is designed to provide clarity and fairness to our clients in such situations.
CONSULTATION FEE AND CANCELLATION POLICY
1. Refunds for Consultation Pricing Structure: AB travel Coordinates charges a $100 nonrefundable consultation fee that is due and payable in full prior to the scheduled consultation. This fee compensates for the Consultant’s time, expertise, and preliminary travel guidance provided during the consultation session.
In the event that the Client elects not to proceed with full-service travel planning following the consultation, no additional fees shall be due, and the consultation fee shall remain nonrefundable under all circumstances.

If the Client fails to attend the scheduled consultation without providing a minimum of twenty-four (24) hours’ written notice, the consultation shall be deemed forfeited, and a new consultation fee shall be required to reschedule.
TRAVEL PLANNING SERVICES CANCELLATION POLICY
The travel planning process shall be deemed to have commenced upon signing the agreement and receipt of the initial deposit. If the Client cancels the Travel Consultancy Services prior to signing the agreement and the commencement of the travel planning process (defined as the creation of the initial itinerary), no fees shall be due, and no refunds will be applicable. After the planning process has begun, refund eligibility will be assessed based on the timing of the cancellation and the stage of completion of travel arrangements. Please note that a $200 cancellation fee may apply, especially for cancellations made after a certain period from the agreement signing date.
1. Refunds for Flat-Fee Pricing Structure: If the Client cancels the travel consultancy services before the commencement of the travel planning process (defined as the creation of the initial itinerary), no fees shall be due, and no refunds will be applicable.
Once the travel planning process has begun, refunds will be provided as follows:

Cancellation within 7 days of signing an agreement, a 50% refund of any fees paid, plus an additional $200 administrative fee.

No refunds will be provided for cancellations made after 7 days of signing an agreement.
2. Refunds for Percentage-Based Pricing Structure: If the Client cancels the travel consultancy services before the commencement of the travel planning process (defined as the creation of the initial itinerary), no fees shall be due, and no refunds will be applicable.
Once the travel planning process has begun, refunds will be provided as follows:

Cancellation within 7 days of signing an agreement, a 50% refund of any planning fees paid, plus an additional $200 administrative fee.

No refunds will be provided for cancellations made after 7 days of signing an agreement.
3. Change Fee: If any changes to the itinerary are requested after the initial confirmation, an additional $200 change fee will be applied per change, in addition to any other applicable costs.
4. Refunds for Trip Cancellation or Changes: If the Client cancels the trip after all bookings and arrangements have been confirmed and paid for, refunds will be subject to the cancellation policies of the respective travel suppliers (hotels, tour operators, etc.).
AB Travel Coordinates will assist the Client in processing refunds from travel suppliers in accordance with their policies, but cannot guarantee the amount or timing of any refunds received.
5. Refund Requests: All refund requests must be submitted in writing to AB Travel Coordinates at bookings@abtravelcoordinates.com, including “Refund and Cancellation” or “Change Request” in the subject line. and will be processed within 30 days of receipt. Any applicable charges will be communicated transparently.
6. Force Majeure: In cases of force majeure events or requested changes to the itinerary, AB Travel Coordinates will make every effort to accommodate client's needs, but additional fees and penalties may apply. It is the client's responsibility to review and understand our cancellation and refund policy before signing the agreement.
